IVR or AI voice assistant? Smart IVR, differences and switching

An IVR (interactive voice response) is a phone system feature that routes callers with recorded announcements and touch-tone menus. An AI phone assistant lets callers explain what they need in their own words, understands the request and completes the job itself: it books the appointment, takes the order, opens the record. In short, an IVR routes; an AI assistant resolves. This guide covers the differences, when each is enough, the cost, and how to switch from your current phone system.

The short answer

  • If you have a few clear options and most calls end with an agent anyway, a touch-tone IVR may be enough.
  • If callers get lost in the menu, press zero for an agent, or the phone goes unanswered after hours, the problem isn't routing; it's that nobody is there to finish the job. That's where an AI assistant makes the difference.
  • The most common setup is both together: the assistant answers and completes routine work, and transfers the call to your team when needed or when the customer asks.

What are an IVR, a speech IVR and an AI assistant?

Touch-tone IVR

A classic IVR plays a recorded announcement and asks callers to choose with their keypad: "Press 1 for sales, 2 for support." The caller works through the menu and ends up in a queue or on an extension. It can also read out stored information such as a balance or opening hours.

Its strength is simplicity: with few options it is quick and predictable. Its weakness is that it doesn't understand what the caller wants; a request that isn't in the menu has no key, and the work usually still falls to an agent.

Speech-enabled IVR

A speech IVR recognises short spoken commands instead of keys: the caller says "support" or "billing" and the system routes the call. The menu is quicker to get through.

Its core job is still routing. It works with predefined words and options, and has limited understanding of long sentences, several requests at once or side questions. Completing work such as booking an appointment usually needs separate integration and flow design.

AI phone assistant

An AI phone assistant turns the caller's speech into text, understands what they want, prepares the answer from your information and says it in a natural voice. The caller doesn't listen to a menu; they say "I have an appointment tomorrow afternoon and want to change the time", and the assistant does it.

Calling AI's phone assistant picks up in 0.8 seconds and speaks natural Turkish in your brand's tone. It answers questions, takes bookings and orders and opens records; it never guesses, and transfers the call to a number on your team or opens a callback request. The same assistant also calls your list for reminders, surveys and confirmations.

When is an IVR enough, and when do you need an AI assistant?

A touch-tone IVR is usually enough if…

  • Your menu has two or three clear options and callers know which to pick
  • Most calls need to talk to an agent anyway
  • Call volume is low and lines don't fill up even at peak times
  • After-hours calls aren't critical for you

An AI assistant makes a difference if…

  • Callers get lost in the menu and press zero for an agent
  • The same questions (appointments, order status, prices, opening hours) fill your team's day
  • Customers wait and hang up at peak times or during campaigns
  • Calls after hours and at weekends go unanswered
  • You need to call customers for reminders, confirmations and surveys
  • Some customers call in other languages

Look at a week of calls before deciding: how many reach the right place in the menu and get resolved there, and how many wait for an agent or go unanswered? The size of the second group shows what an assistant would win you.

Switching from your IVR to an AI assistant

You don't need to change your phone system or get a new number. Calling AI works with Netgsm, Verimor and Twilio and with carriers and phone systems that support SIP.

  1. 1

List your menu and call reasons

Write down your IVR options and the questions your team hears most. Split the work the assistant will take (information, bookings, orders, records) from the work that stays with your team (complaints, disputes, decisions).

  2. 2

    Connect your number

Forward your existing number to the assistant or connect your PBX over SIP. Your number stays the same; your customers change nothing.

  3. 3

    Build the assistant by chatting

Describe what the assistant should do in the panel or start from a ready-made example. Set its greeting, voice and rules; upload documents such as price lists, FAQs and procedures, or give your web address.

  4. 4

    Set transfer rules

Decide when a call goes to your team and to which number. If the customer asks for a person the assistant transfers the call; if nobody is available it opens a callback request.

  5. 5

    Connect your calendar and CRM

Connect apps such as Google Calendar, HubSpot, Salesforce and Zoho from the panel so bookings and records go straight there. Your own software connects via REST API and webhooks.

  6. 6

    Monitor and expand

Every call's recording and transcript is in the panel. See which calls the assistant finished and which it transferred, and widen its scope by updating your documents.

Switch step by step: you don't have to remove the menu in a day

Many businesses start with one job, for example routing only after-hours calls, or the menu's appointment option, to the assistant. That routing is set in your phone system or carrier panel. The assistant takes on more as you see results. Our team helps with the first setup, and every package can be tried free for 14 days with no card.

What to measure after switching

In the first weeks after switching the assistant on, watch four things. You follow all of them in the panel, alongside every call's recording and transcript.

  • Calls the assistant finished

The share of calls where the caller's job was done without a transfer. The higher it goes, the less routine work reaches your team. At Fiba Emeklilik 87% of calls were completed by the assistant.

  • Transferred calls and why

See which topics end up with your team. A topic that is often transferred is usually missing information; once you update your documents the assistant answers it too.

  • After-hours and peak-time calls

Check whether calls that used to go unanswered or drop in the queue are now picked up. The assistant works 24/7 and handles several calls at once.

  • Customer satisfaction

The assistant can call your list after the conversation for a short satisfaction survey; scores and comments are recorded and show up in reports.

Cost: the real difference is behind the menu

The touch-tone menu itself is often part of your phone system or carrier service; the real cost is the agents who answer at the end of it. So when comparing an IVR with an AI assistant, look at the cost of the work that falls to agents after the menu.

For a sample volume of 6,000 phone minutes a month, live agents cost TRY 43,250 and Calling AI TRY 14,880 (excl. VAT); a difference of 65.6%. The live-agent side is an estimate; shift patterns and staffing differ from company to company, so no breakdown is given.

How it's worked out: the Calling AI side uses the enterprise starting rate (0.05 USD a minute) at 1 USD = 49.6 TRY. The live-agent side is an estimated total for this volume and varies with shifts and staffing. Figures exclude VAT. Ready-made packages are sold with a monthly quota and aren't part of this example.

Calling AI's ready-made packages come with a monthly quota, and WhatsApp, web chat and e-mail are included alongside phone. High-volume enterprise quotes start from 0.05 USD per minute.

Industry examples: stuck in the menu, or finished by the assistant?

The same call ends very differently in an IVR and with an AI assistant. Each example below comes from Calling AI's ready-made industry examples.

  • Banking: lost card and suspicious transaction line

    With a touch-tone IVR

The caller finds the lost-card option, then waits in the agent queue.

    With Calling AI

The assistant verifies the caller, blocks the card and orders a new one if the customer agrees, and opens a dispute for an unrecognised transaction; on suspected fraud it transfers the call to your team first.

  • Insurance: claim reports

    With a touch-tone IVR

The caller presses the claims option and explains everything again to an agent.

    With Calling AI

The assistant takes when and how the damage happened and the details needed, opens the record and passes it to your team.

  • Healthcare: appointment line

    With a touch-tone IVR

The caller works through the menu to pick a department and waits for an agent to book.

    With Calling AI

The assistant finds the right department and a suitable time for the patient's complaint and books it; it never diagnoses and refers medical questions to a doctor.

  • E-commerce: order tracking

    With a touch-tone IVR

The caller presses the orders option and is connected to an agent to hear the status.

    With Calling AI

The assistant asks about the order or shipment and tells the customer its status; it also takes return and exchange requests.

Common questions

What is the difference between an IVR and an AI phone assistant?

An IVR routes callers to the right line with a touch-tone or spoken menu, and an agent usually finishes the job. An AI phone assistant understands the caller's own words and completes the work itself: it answers questions, takes bookings and orders, opens records, and transfers the call to your team when needed.

Is a speech IVR the same as an AI assistant?

No. A speech IVR recognises short spoken commands instead of keys, but its core job is still routing. An AI assistant understands free speech, answers questions from your information and completes the work end to end.

Do I need to change my phone system or number?

No. You use Calling AI by forwarding your existing number or connecting your PBX over SIP. It works with Netgsm, Verimor, Twilio and carriers and phone systems that support SIP; no new number needed.

Do I have to remove my IVR completely?

No. You can start by routing only after-hours calls, or one menu option, to the assistant, and give it more work as you see results.

What does the AI assistant do when it doesn't know the answer?

It never guesses. It transfers the call to a number on your team or opens a callback request. Every call is recorded, so you can review what was said in the panel.

How many calls can it handle at once?

Several at once; ready-made packages run 5 concurrent calls, and enterprise quotes raise that to fit your needs.

Will callers know they're talking to AI?

Calling AI speaks natural Turkish in your brand's tone. It can also be set to introduce itself as an assistant at the start of the call.

Does the AI assistant make outbound calls too?

Yes. An IVR only routes inbound calls; Calling AI also calls your list on the days and hours you set for payment and appointment reminders, surveys, confirmations and pre-sales calls. It retries unanswered calls and follows up on WhatsApp.

Which languages does it speak?

Calling AI speaks natural Turkish; it recognises more than 30 languages and accents, detects the language spoken and switches mid-call if needed. You don't record a separate menu for each language.

Is the AI assistant KVKK compliant?

Data is processed in line with KVKK and GDPR, encrypted in transit and at rest, and never used to train AI models. With an enterprise quote the system can be installed on your own servers and run on local LLM, STT and TTS models.
